General Purpose of Position
Assist the Pastor, Trustee, Church Council, church staff and members to carry out the ministries of Providence UMC. The Secretary works independently to ensure the organization and operation of the church office and works under the supervision of the Pastor and the Staff Pastor/Parish Relations Committee.
Organizational Relationship and Supervision
This position reports to the Pastor but will work closely with the Treasurer, Bookkeeper, other staff positions, Church Council, Staff Pastor/Parish Relations, and Trustees. This person will be responsible and subject to United Methodist policy and doctrine, and local church policy as determined by the Charge Conference, Pastor and Staff Pastor/Parish Relations Committee.
Commitment to the ministry requires a great investment of time and interest that cannot be accommodated in a strict office schedule. Work is sometimes required outside of normal office hours due to religious holidays, special and unexpected services.
This job description is not intended to be all-inclusive. Employee may perform other related duties required to meet the ongoing needs of the church.
Principle Responsibilities
- General office duties include answering the telephone, working with volunteers, receiving visitors, preparing weekly sign-in sheets, children’s bulletins, and other duties as required.
- Prepare bulletins for weekly worship services, special holiday services and funerals.
- Compose, and distribute electronically, weekly communications or other important notifications (sympathy or inclement weather.)
- Prepare announcements (PowerPoint) based on bulletin information for viewing prior to Sunday worship services.
- Central contact for the Custodian, Trustees, Church Council and other committee chairpersons.
- Issue keys and manage forms for those are borrowing keys for church facilities.
- Order flowers for worship services.
- Maintain up-to-date inventory of health aids (wheelchairs, walkers, etc.) and manage forms required to borrow items.
- Maintain website with weekly bulletin information and other information when needed or requested (new staff, schedule corrections, etc.).
- Maintain the electronic church calendar (also on the church website).
- Based on calendar information, maintain HVAC needs using online system. Add last-minute events and make changes when they occur.
- Place service calls on office equipment or contact the appropriate Trustee if problems arise with facilities or other assets (kitchen appliances, plumbing, HVAC, etc.).
- First point of contact for vendors and contractors.
- Perform background checks for potential employees and other volunteers who work with children and youth (i.e., Upward Soccer, Youth group, etc.) on behalf of the church.
- Attend all staff meetings.
Membership
- Input weekly EVC (Equipping Vital Congregations) data for weekly worship attendance and ministry statistics (baptisms, deaths, new members, transfers, etc.).
- Maintain accurate and current electronic file of membership records using Church Windows (baptisms, deaths, new members, transfers, etc.).
- Prepare Charge Conference reports and Annual reports.
Financial
- Post weekly contributions (Church Windows) and provide reports as requested by the Treasurer or Finance chairperson. Coordinate distribution of giving statements at year end.
- Work with the Stewardship committee in preparing upcoming annual Stewardship campaigns and congregation communication.
- Provide reports to the Stewardship committee when requested.
- Work closely with Bookkeeper and Treasurer especially when preparing year end statements.
- Acknowledge memorial gifts with appropriate correspondence and maintain information using Excel spreadsheet.
- Maintain offering envelope list and send file to provider monthly.
Qualifications and Skill
- Strong proficiency in office procedures and software programs including Microsoft Office Suite, particularly Publisher, PowerPoint, Word, Excel – also Church Windows, Google Docs, Calendar and Gmail.
- Minimum of three years’ administrative experience, preferably in a church office.
- Excellent oral, written and organizational skills.
- Teamwork mentality and the ability to work alone and effectively with everyone (Office Assistant, Bookkeeper, Treasurer, Pastor, and other staff and members).
- Knowledge of standard office equipment, including computers, laminators, routers, copiers, multiple printers, phones, copiers, etc.
- Ability to use discretion and maintain confidentially regarding church matters and giving.
- Must be self-motivated and able to work under pressure and alone.
